Convention attendees can’t be at every breakout or education session offered. So, allow them an opportunity to view all general sessions, educational breakouts, and special events on your Convention Website via our Convention Video Production, Editing, and Streaming Services.
The first step in transforming your physical conference into an Online Conference is to finalize your conference agenda, assign your session rooms, and schedule an appointment with one of our Video Production Directors. Once complete, an experienced Video Production Director will meet with you to review your event schedule and carefully catalog the events and sessions you would like to provide online along with the production details of each session. We will produce a staffing chart that lists the number of videographers needed for each session based on the details you provide, then logistically calculate the number of videographers needed each day to guarantee sufficient staff is allocated to ensure every session is captured and an additional videographer is available to capture any unexpected opportunities. Our team will develop and present a staffing chart for your approval.
Once we access your shoot schedule, we’ll meet with our network of videographers across the country and work with your hotel audio/visual contacts to provide you the most cost effective plan to meet and exceed your conference videography needs.
This package cost will include all videography and editing to capture your conference events and education sessions. The cost estimate will include a Video Production Director who will attend your event to manage the Video Production Team and serve as the point of contact for your hotel and event staff. Our Cost Estimates are set according to complete daily videographer rates and a per education session/event editing fee.
Our team has filmed everything from the smallest of breakouts to large scale general session rooms, and special events such as award banquets, live webcasts of national award shows, live automobile auctions, and auctioneer contests. Our lead video/film manager will arrive the day before the first day of shooting to make sure the hotel has provided the proper risers, and audio/visual needs for each event/session. Our team of videographers will shoot throughout your event, and deliver the raw footage to our Post-production Editing Team multiple times during the day as time permits.
Our talented group of editing professionals will begin to review the raw footage and start the editing process to create Quality Video Segments that are ready to post to your new Online Convention Website. We will also edit any of your special events and live webcasts to make them available for re‐webcast. Once complete, our editing team will hand all the final edited sessions over to our Online Account Services Team for inclusion on your Online Convention Website. We’ll even incorporate some PowerPoint slides where appropriate into the edited versions of your educational sessions and breakout videos. Turnaround time on your edited sessions vary depending on session length and the overall number of sessions, but the typical turnaround time is between two to three weeks. We can provide an estimated deliverables timeline once we access your event videography needs.
